How to Set Up a New Office Printer

These six steps work for most office inkjet, laser and multifunction printers used by businesses. Button and menu names differ a little between brands and models; your printer's quick-start sheet shows the exact ones.

  1. Step 1: Unpack the printer

    Remove every piece of tape, foam and cardboard, including the pieces inside the scanner lid, the paper trays and the cartridge or toner area. Leftover packing is the most common reason a new printer shows an error.

  2. Step 2: Power on and choose your settings

    Connect the power cable directly to a wall outlet, switch the printer on and follow the control panel prompts for language, country and date. Printers without a screen skip this step.

  3. Step 3: Install ink or toner and load paper

    Insert the starter cartridges or toner that came in the box and load plain letter or A4 paper. The printer then primes and aligns itself, which can take several minutes; leave it switched on until it finishes.

  4. Step 4: Connect to your office network

    On the control panel open the Wireless or Wi-Fi Setup Wizard, pick your office network and enter the Wi-Fi password; ask whoever manages your network if you don't have it. Printers without a screen usually connect with the WPS button on the router or through the printer manufacturer's own setup app. You can also use a network (Ethernet) or USB cable instead.

  5. Step 5: Add the printer to each staff computer or phone

    Use the steps for each device below. Windows, macOS, ChromeOS, iOS and Android include drivers for most current printers, so extra software is often not needed.

  6. Step 6: Print a test page

    Print a document or the printer's own test page. If the page is blank or streaky, run the printhead cleaning or alignment tool from the printer's maintenance menu, then try again.

Menu names vary slightly by phone brand. Work phones managed by your company may need your IT administrator to allow the print service.

Stay safe during setup. Download drivers and apps only from your printer manufacturer's own website or your device's built-in app store, and follow your company's IT rules for installing software. Will the technician need our passwords?

No. We never ask for account passwords, banking details or government ID. Where a printer, computer or network device needs a Wi-Fi password or a sign-in, a member of your staff enters it. A technician works on printers at your business only with your permission and does not install software on your computers without explaining what it is.

My printer is still under warranty. Should I contact the manufacturer?

Check your warranty first, because the manufacturer often fixes printers free of charge during the warranty period. Damage caused by opening the printer or changing its firmware may not be covered by the warranty.
